Is your price before or after tax?
The same number means two different invoices. Move the price and rate, then flip between “tax on top” and “tax included” to see where the tax comes from.
Customer pays 120.00. To back the tax out of a gross price, divide by 1.200 — don’t multiply by 20%. Multiplying would give 24.00 of tax, overstating it by 4.00.
What makes an invoice valid
There is no single worldwide invoice format, but tax authorities agree on the core. In the UK, HMRC’s guidance says an invoice must show a unique identification number, your business name and address, the customer’s name and address, a clear description of what you are charging for, the date of supply and the date of the invoice, the amount(s) being charged, VAT if applicable, and the total owed. EU member states follow Article 226 of the VAT Directive, which also requires the supplier’s VAT number. In the US, the IRS does not prescribe an invoice layout, but it expects you to keep documents that support the income you report — invoices are the primary record for that.
Invoice Studio’s default layout covers all of those fields. If you are VAT- or GST-registered, put your registration number in the address box and set the tax rate in Totals.
Why sign an invoice?
A signature is rarely a legal requirement on an invoice, but it helps in three situations: a client’s accounts team that insists on “signed and stamped” paperwork (common with larger companies and in parts of Asia and the Middle East), a job where the invoice doubles as a delivery confirmation, and disputes, where a signed document shows who approved it. You can type a signature in one of three handwriting styles or draw it on the pad; either is stored only in your browser.
Numbering, due dates and “Paid”
Use one continuous sequence (INV-0001, INV-0002…) and never reuse a number, even for a cancelled invoice — issue a credit or a new invoice instead. Invoice Studio remembers the last number you exported and suggests the next one. Enter any amount already received in Already paid and the invoice switches its headline to Amount due.

Flat rates on invoices, sliced rates on income
The tax on an invoice is simple arithmetic: one VAT, GST or sales-tax rate applied to the whole price. Invoicing late into the evening and caught by the Moon out the window? ahaboo has a narrated explainer on why it looks different from last week.
Every other business document, same editor
Invoices are one piece of the paperwork. The same studio makes quotes clients can sign, receipts, purchase orders, delivery notes and the rest of the set, all sharing your logo and details.
Questions
Is this invoice generator really free?
Yes. There is no account, trial or watermark. Invoices are built in your browser and exported to PDF on your device.
Where is my invoice data stored?
In your browser’s localStorage on this device only. Invoice Studio has no database. Use “Clear all my data” below the editor to delete everything.
Can I add a digital signature to an invoice?
Yes. Choose Type to render your name in a handwriting font, or Draw to sign with a finger, stylus or mouse. The signature is embedded in the PDF as an image.
How do I add VAT, GST or sales tax?
Open Totals, name the tax (VAT, GST, Sales tax), enter the rate and tick “Prices already include tax” if your prices are gross. The invoice shows the tax amount separately either way.
Can I make an invoice on my phone?
Yes. On phones the editor and preview switch with the Edit / Preview tabs, and the signature pad works with your finger.
